The truth about "hot leads": why timing is everything

A lead isn't hot because it's the right company. A lead is hot because it's the right company right now. Here is how the clock actually works in B2B — and where most teams lose deals to hours.

Everybody wants "more hot leads". Almost nobody defines what hot means. Here is a working definition, and why it makes response time the single most valuable habit your team can build.

What actually makes a lead hot

Two things: fit (this company could realistically buy from us) and intent (this company is actively thinking about the problem we solve). One without the other is lukewarm.

Intent has a half-life. A company reading your pricing page today is much closer to a decision than the same company reading it three weeks ago. Same firm, different heat.

The clock nobody talks about

Rough B2B pattern many teams see: the odds of getting a first conversation drop sharply after 24 hours from the peak-activity moment. After 72 hours, you're often just another cold email.

These are directional ranges from what teams commonly report — not universal statistics. Use them to build a habit, not a legal claim.

A tiny hot-lead SLA that works

You don't need software for this. You need one rule the whole team agrees on:

  • If an identified in-ICP company hits pricing or contact today, someone reaches out today.
  • If it happens on a Friday afternoon, Monday 9am is the deadline.
  • Nobody needs to "qualify" it first — the visit is qualification enough for a low-effort reach-out.

What "reaching out" looks like when it's hot

Short, human, referencing the situation without stalker vibes. "Saw a few folks from your side looking at how we handle multi-brand setups — happy to jump on a quick call if useful, or send a one-pager first." That's it. No 400-word pitch.

The magic isn't the copy. The magic is the clock.
